Älvsjö to Arlanda: Pack-Down Day After the Fair

You probably arrived at the fair with a couple of cases. You're leaving with those cases plus sample boxes, leftover print materials, giveaways nobody took, and sometimes a folded pop-up stand that doesn't fit any normal suitcase shape. Public transport handles a rolling case well; it handles four odd-shaped boxes and a crate much less well, especially with a flight to catch and no spare time to make two trips to the platform.

Booking a car in advance means you're not solving this problem at the last minute, with the fair already closing around you. You choose the vehicle size based on what you're actually carrying, not on what the first available taxi at the rank happens to have room for.

If it's one or two people with a normal luggage load plus a couple of extra boxes, the SUV/XL category — six seats and a bigger luggage budget than the standard car — is usually enough. If your team is travelling together with a genuinely full pack-down (crates, multiple stand elements, several people's luggage), the Minibus category is built for exactly that: more seats and a much larger combined luggage allowance, so nobody is holding a box on their lap for the ride.

When you book, there's a notes field — use it. Naming what you're bringing (a folded pop-up stand, a specific crate size, how many boxes) means the car sent actually has room, confirmed before pickup rather than discovered on the loading dock.

Stockholmsmässan has separate areas for exhibitor loading and general visitor pickup, and on pack-down day the loading side is where you actually are, often at a different door than where you were dropped off on arrival day. Give the exact meeting point in your booking notes — which hall, which loading bay or entrance — rather than just "Stockholmsmässan", so the driver isn't circling the building looking for you among a dozen other exhibitors doing the same thing.

Pack-down days run late and rarely to the schedule printed on the fair programme. Build in more time than you think you need between "stand torn down" and "car booked", since a fair's own loading logistics, not the roads, are usually what actually slips.

Once you're in the car, your flight number is tracked, so if pack-down runs later than planned and you're cutting it closer than you'd like, that's on the record rather than something you have to explain at the kerb. The fixed price for the route to Arlanda is shown and agreed before you book, whatever category you've chosen, so there's no negotiation to have with a driver while you're also trying to make a gate.
