Vehicle categories are built around passenger count and a combined luggage budget, not just seats. The Minibus category takes up to eight passengers and an 18-unit luggage budget — enough for a squad's kit bags alongside personal bags, without anyone holding a bag on their lap for the ride to the terminal.

A youth team of ten or twelve, plus a coach and a parent chaperone, won't fit in one car regardless of category, and that's fine — the booking form is built around one car per booking, so a squad that size books two or three cars rather than trying to force everyone into one.

When a team is bigger than one Minibus can hold, the practical approach is to book separate cars for separate groups — players in one or two Minibuses, staff and any overflow kit in another — each timed to arrive at the terminal within the same check-in window rather than all booked for the exact same minute.

Each booking gets its own fixed price and its own driver, so there's no need to coordinate who pays what inside the group beforehand; the club (or whoever is organising) can book and pay for every car under one account.

Sports kit doesn't behave like normal luggage — hockey bags, a team's shared equipment holdall, a box of match balls. None of that fits neatly into a per-passenger luggage count, so the honest approach is to name it in the booking notes: what it is, roughly how bulky, and how many bags total.

We'd rather move a team into a bigger category before the day than find out at the kerb that a Minibus's boot won't close. Flagging oversized kit at booking means it's confirmed before pickup, not discovered on the morning of departure.

A team manager booking on behalf of the club can put the club as the traveller and the receipt recipient, separate from whoever's card pays. That matters for reimbursement — a parent-volunteer treasurer or a club administrator filing expenses needs a receipt that names the club, not an individual player's parent, and the receipt includes the VAT line most clubs' bookkeeping expects.

If the club account handles several trips a season — league fixtures as well as tournaments — the same booking details can be reused each time rather than re-entered from scratch.
