If you're a parent or guardian arranging the trip from elsewhere, you can book the ride yourself and give the pupil's flight details — the booking and the confirmation go to whoever makes it, so you can arrange the whole trip in advance even if you're not travelling yourself. Put the pupil's name and the school in the booking notes so the driver has the right context on arrival. You receive the driver's name, phone number and licence plate before pickup — pass them on to a pupil travelling alone, so they know exactly which car and driver to look for, and check with the airline and the school what they require for a young pupil travelling unaccompanied.

Term-start luggage is usually more than a typical trip — cases packed for months rather than a week or two, sometimes with extra bags for school kit. Choose your vehicle category with that in mind rather than defaulting to the smallest option: the luggage-unit budget varies by category, and it's worth checking it fits comfortably rather than assuming a standard car will do.

• Standard, Electric and Business: 4 passengers, a 6-unit luggage budget — at most 4 pieces, of which at most 2 large (2 large + 2 cabin, 1 large + 3 cabin, or 4 cabin)
• SUV / XL: 6 passengers, a 10-unit luggage budget, at most 4 large — often the better fit for a full term's packing
• Minibus: 8 passengers, an 18-unit luggage budget, at most 8 large, for more than one pupil travelling together

Most boarding schools set a specific arrival day and window at the start of term, and it's worth checking that directly with the school rather than assuming a flexible drop-off time — arriving well within the window matters more here than it would for an ordinary trip. Once you know the window, book the pickup with enough margin from landing to account for baggage claim on what's often a long-haul flight.
