Sending Visiting Relatives Home: Booking Their Ride to Arlanda
Updated 3 min read
When relatives visit and the trip winds down, it's often the host who ends up booking the ride to the airport — not the travellers, who may not know the address details, the local booking process or even feel comfortable managing it in a language they don't speak fluently.
You can book entirely on someone else's behalf, but it helps to know what to put where so the traveller has what they need on the day, even if you're not in the car with them.

Booking for someone who isn't you
There's nothing unusual about booking a ride for someone else — enter the pickup address (your home, or wherever your relatives are staying), the flight details, and the passenger count and luggage as they'll actually travel, not as you would. If your relatives are carrying gifts, extra bags picked up during the visit, or more luggage than they arrived with, size the vehicle category for the return trip's load, not the arrival one.
Making sure the traveller gets the driver details
Before pickup, the driver's name, phone number and licence plate are sent out — if you booked using your own contact details, make sure that information reaches your relatives before the car arrives, whether that's forwarding a message or simply telling them to expect a car with those details. It's worth doing this the evening before, not while the car is already on its way.
If your relatives have a phone that works in Sweden and can receive messages directly, consider using their number on the booking instead, so the details go straight to the person actually travelling.
Language and last-minute questions
If your relatives don't speak Swedish or English confidently, walk them through the basics before the day: the driver will be waiting with a name and plate they can check, the price is already settled so there's no negotiation at the kerb, and the driver is expecting them by flight number, not just a rough time.
If anything comes up on the day — the driver hasn't shown, they can't find the car — make sure your relatives know they (or you, if you're reachable) can call the number on the booking or contact support directly rather than waiting uncertainly.
Timing the pickup for their flight, not yours
Set the pickup time around your relatives' checked-baggage and check-in needs, not around your own household's morning routine. If they're carrying gifts or fragile items bought during the trip, mention it in the booking notes so the driver knows to handle bags with care and, if needed, that a bigger category is worth choosing.

Questions people ask before booking
Can I book a ride to Arlanda for someone who isn't travelling with me?
Yes — enter their pickup details, flight and passenger and luggage count as they'll actually travel. Make sure the driver details reach them directly before the car arrives.
How do the driver's details reach my relatives if I made the booking?
They're sent to the contact details on the booking. If you used your own number, forward the driver's name, phone number and licence plate to your relatives before pickup — or put their number on the booking directly if it can receive messages in Sweden.
What if my relatives are carrying more luggage on the way home than they arrived with?
Size the vehicle category for the return trip's actual load, including gifts and anything bought during the visit, not for how much they arrived with.
What should my relatives do if the driver doesn't show?
They can call the driver's number sent before pickup, or contact support directly. Make sure they have that number saved or written down before the car is due.
Is there anything different about booking for a non-Swedish-speaking traveller?
The booking process is the same — the difference is making sure the traveller knows what to expect: a driver with a matching name and plate, a price already settled, and a number to call if anything is unclear.
