Leaving a Sigtuna Conference for a Same-Day Flight

A conference group rarely has one shared flight — delegates scatter across an afternoon of departure times, sometimes different airlines and different check-in deadlines entirely. Booking one car for the whole group only works if everyone's flight and check-in window genuinely line up; otherwise someone ends up either waiting around after the conference ends or rushing because the shared car was timed for someone else's flight.

The more reliable approach is grouping delegates by flight time rather than by convenience of one shared booking: delegates on flights within roughly the same window travel together, sized to a vehicle category that fits their combined luggage, while delegates on earlier or later flights get their own booking timed to their own check-in deadline.

This usually means two or three separate bookings instead of one, but each group actually gets a pickup time that works for them, rather than a compromise that's slightly wrong for everyone.

If you're booking on behalf of the organisation, mark the booking as business travel so it's set up with a company receipt from the start — the receipt shows the price and VAT separately, made out to the company rather than the individual traveller, which is what most finance teams need for expense processing.

Booking each group's trip separately doesn't mean losing that consistency — set each booking up the same way and you end up with a clean, itemised set of receipts for the whole group's transport rather than one lump sum that's harder to reconcile.

Because the drive itself is short, the schedule risk isn't traffic — it's the conference itself running over. Build a little slack between the conference's official end time and each group's pickup, especially for a lunchtime finish that historically runs long, so delegates aren't racing from the closing session straight into a car that's already waiting.
