Flying Out with Airport Assistance: From Your Door to the Airline Desk

Updated 3 min read

Airport assistance and a transfer to the airport are two separate bookings that need to line up — the assistance itself is arranged with your airline, and the transfer needs to know where that assistance meeting point actually is, rather than dropping you at a generic terminal kerb and leaving you to find it.

This guide covers booking both pieces so they connect properly on the day.

Book assistance with your airline first

Airport assistance is arranged directly with your airline, usually with advance notice required — check your airline's own accessibility or special assistance page for how far ahead you need to request it and what it covers. This is entirely the airline's process; a transfer booking with us doesn't arrange airline assistance on your behalf.

Telling us about the meeting point

Once you know where your assistance meeting point is — or your best understanding of it from the airline's confirmation — mention it in your booking notes so the driver can aim the drop-off there rather than a general terminal entrance. If you're not certain of the exact point, tell us what you do know and we'll do the best we can to get you close, then confirm the details with you before pickup.

What else to mention at booking

If you need a specific type of vehicle for a mobility aid, or extra time at pickup, add that to the notes as well — the same field covers a wheelchair, a walking frame, or any other mobility need, and we confirm what we can provide before pickup rather than at the kerb.

Building in a bit more margin than usual for your pickup time is sensible too, since moving from the car to the assistance point and then through to the gate with support can take longer than an unassisted departure.

If you're travelling with a companion

If someone is travelling with you to help, mention that in the booking notes too, along with anything about the car that makes the trip easier for both of you — extra room for a mobility aid alongside a companion's luggage, for instance. The vehicle category can be chosen with both of you in mind, rather than assuming a Standard car automatically fits everything.

A checklist for booking both pieces

  1. Book assistance directly with your airline, with whatever advance notice they require.
  2. Note the assistance meeting point — or your best understanding of it — in your transfer booking's notes.
  3. Add any mobility aid or vehicle need to the same notes field, and we confirm it with you before pickup.
  4. Build extra margin into your pickup time for the assisted airport process.

Questions people ask before booking

Do you book airport assistance for me?

No — assistance is arranged directly with your airline, usually with advance notice required. Check your airline's accessibility page for how it works.

Can my driver drop me at the assistance meeting point instead of a general kerb?

Yes, if you tell us where it is, or your best understanding from your airline's confirmation — we aim the drop-off there and confirm details before pickup.

Do I need to mention a mobility aid separately?

Yes — add it to the booking notes along with the assistance meeting point, and we confirm what vehicle and support we can provide before pickup.

Should I allow extra time on the day?

Yes — moving through the assistance process generally takes longer than an unassisted departure, so build in a wider margin than usual.
