Your Executive's Flight Changed: Updating the Ride
Updated 3 min read
The flight changed, the executive is already in the air or about to board, and it falls to you to make sure the ground transport still lines up before they land. It's a common moment in this job, and it's a fast one to fix if you know exactly what to update and who receives what afterward.
This guide walks through updating a transfer booking when a flight changes, and what your executive sees at the other end.
On this page
What to update, and how quickly it takes effect
Update the flight number on the existing booking as soon as you know the new one — that's the only field that needs to change for tracking to pick up the new flight. Once it's updated, we watch that flight's live status and the pickup time follows its actual landing automatically, the same as it would for the original flight.
If the new flight lands at a different airport or terminal
If the change is more than a new flight number on the same route — a different airport entirely, for instance — update the booking's pickup details to match, or contact us directly if you're not sure how to enter it. The clearer the new details, the more precisely the pickup can be tracked against them.
What your executive actually sees
The driver details — name, phone number and licence plate — are sent before pickup regardless of which flight ends up being tracked, so from your executive's side, a flight change that's been updated in time is invisible: they land, and the same process happens as if nothing had changed. That's the point of updating it promptly rather than leaving it for the driver to work out at the gate.
If the change happens very close to landing
If you only learn about the change shortly before the flight is due to land, update the booking as soon as you can and then call us directly — a fast, direct update gives the best chance of the change being reflected before your executive is through arrivals.
If the change is a cancelled trip, not just a new flight
If the flight change is really a cancelled trip rather than a rebooking, free cancellation up to 12 hours before pickup applies the same way it would for any booking, refunded in full. With less notice than that, contact us directly and explain the situation.

Questions people ask before booking
How do I update a transfer when my executive's flight changes?
Update the flight number on the existing booking — tracking then follows the new flight automatically, and the pickup time adjusts to its actual landing.
Does updating the flight number cost anything?
No — flight tracking and adjusting the pickup to match a new flight's landing time is included, whether the flight changes once or several times.
Will my executive know their flight was changed on the booking?
Their driver details are sent before pickup as normal — if the update is made in time, the process looks exactly the same to them as an unchanged booking.
What if I find out about the change very close to landing?
Update the booking as soon as you can and contact us directly — the faster it's updated, the more reliably it's reflected before your executive reaches arrivals.
What if the new flight lands at a different terminal or airport?
Update the pickup details on the booking to match, or contact us directly if you're unsure how to enter it correctly.
