Long-Stay Business Travellers in Serviced Apartments

Updated 3 min read

A business traveller checking into a hotel for three nights packs one bag. Someone landing for a six-week assignment and moving into a serviced apartment in Stockholm or Uppsala packs like they're relocating, because in a smaller way they are — clothes for the season, a second bag of work equipment, sometimes boxes shipped ahead that need collecting on the way.

This guide covers the two things that actually differ about that kind of arrival: how much car you need for the luggage, and what happens with keys when a serviced apartment's check-in isn't staffed the way a hotel's front desk is.

Why a long-stay arrival needs more car than a short trip

Luggage on our vehicles is measured as one combined budget rather than a simple bag count — a large checked case counts as two units, a cabin bag as one. A three-night hotel trip is usually one or two cases; a long-stay assignment is routinely three or four plus a laptop bag and sometimes a second holdall of equipment, which can push past what the Standard category's 6-unit budget comfortably takes.

If you're not sure your load fits, the SUV / XL category's 10-unit budget and six seats give more headroom, and it costs nothing to say in the booking notes exactly what you're bringing — we'd rather confirm it fits before pickup than have you find out at the kerb.

Serviced apartments and key collection

Unlike a hotel, a serviced apartment building often doesn't have someone at a desk around the clock, and key collection can involve a lockbox, a separate management office, or a code sent by email rather than a person handing you a card at check-in. That's worth sorting out with the apartment provider before you fly, because a transfer can get you to the address reliably, but it can't collect keys on your behalf from an office that closes before your flight lands.

If the address the apartment gives you for booking isn't the same as where you actually need dropping — a management office a block away, for instance — put the correct address into the booking rather than the marketing address, so your driver takes you to the right door.

What the receipt covers for a long assignment

A long-stay assignment is usually billed to the company, and choosing the company receipt option at booking makes out the receipt to your employer's name with the 6% VAT line broken out, the same as any other business booking — useful if the assignment's costs are tracked separately from your regular expense claims.

Booking the arrival

Enter your flight number so the pickup follows your actual landing time rather than the schedule — useful on a long-haul arrival where a delay is more likely than on a short European hop. Choose the vehicle category against how much you're actually bringing, not against how many nights you're staying, and use the notes field for anything oversized or for the correct drop-off address if it differs from the apartment's official one.

Questions people ask before booking

How much luggage does a Standard car actually take?

A 6-unit combined budget, where a large case counts as two units and a cabin bag as one, with at most two large cases — so 2 large bags + 2 cabin bags, or 4 cabin bags. For a long-stay move with more than that, the SUV / XL category's 10-unit budget usually fits better.

Can the driver help me collect keys from a lockbox or management office?

No — key collection needs to be arranged with the apartment provider before you fly. The driver takes you reliably to the address you give at booking.

What if the apartment's booking address isn't where I need dropping off?

Enter the actual address you need — a management office or a different entrance, for instance — directly into the booking rather than the apartment listing's address.

Can the receipt be billed to my employer for a long assignment?

Yes — choose the company receipt option and enter the employer's name. The receipt shows the price and the 6% VAT line made out to that name.

What if I'm not sure how much luggage will fit?

Describe what you're bringing in the booking notes. We'd rather confirm the right category fits before pickup than have it turn out short at the kerb.
