Discreet Transfers for High-Profile Business Travellers
Updated 3 min read
A high-profile traveller's schedule is often handled by someone else entirely — an assistant books, confirms and manages the logistics, while the traveller themselves sees as little of the process as possible. That arrangement works cleanly with an airport transfer, as long as it's set up correctly from the start rather than improvised at the last minute.
This guide covers what's actually available for a discreet arrival or departure: booking under an assistant's details, controlling where notifications go, and what the driver knows and doesn't know about who they're collecting.

Booking under an assistant's name
There's nothing that requires the traveller's own name or email on the booking. An assistant can book using their own contact details throughout, with the passenger's name entered only where it's needed for the driver to confirm who they're meeting — the confirmation, reminders and receipt all go to the assistant's inbox, not the traveller's.
Choose the Business category when booking, which sets the receipt to the company's name by default and keeps the paperwork side entirely separate from the traveller's own accounts.
What the driver receives and what they don't
The driver gets the flight number, the pickup point and drop-off address, and the passenger name needed to confirm who they're collecting — the operational details required to do the job properly. They don't receive anything beyond that: no itinerary, no meeting details, no reason for the trip.
In return, the passenger receives the driver's name, phone number and licence plate before pickup, which is the same identity check every booking gets — useful for confirming the right car at a discreet meeting point away from a crowded arrivals hall, if that's preferred over the main hall.
Choosing where the pickup actually happens
If arrivals hall pickup isn't preferred, note an alternative meeting point in the booking — a specific entrance, a nearby hotel forecourt, wherever suits — and the driver works to that instead of the default. This is the same notes field every booking has; there's no separate discreet-service product, just the ordinary booking used deliberately.
Repeat travel without repeating the setup
For a traveller who moves through Arlanda regularly, an assistant can rebook the same pattern — same pickup style, same receipt details — each time without starting from scratch, since the notes and preferences from a previous booking are a useful template even though each trip is booked and confirmed individually.

Questions people ask before booking
Can an assistant book without using the executive's own name or email?
Yes — the assistant's contact details can be used throughout the booking, with the passenger's name entered only for driver confirmation. Confirmations and receipts go to the assistant.
Does the driver know why the passenger is travelling or where they're going afterwards?
No — the driver receives only the flight number, pickup and drop-off details, and the passenger name needed to confirm the pickup.
Can we choose a quieter meeting point than the main arrivals hall?
Yes — note the preferred pickup point in the booking and the driver works to that instead of the default arrivals hall.
Is there a separate premium service for discreet transfers?
No — it's the standard Business booking used deliberately, with the notes field set for a specific pickup point and the receipt made out to the company rather than the traveller.
How does the passenger identify the right car if they'd rather not be met by name in a public hall?
The driver's name, phone number and licence plate are sent before pickup, so the passenger can confirm the car directly rather than being paged or approached by name.
