For Executive Assistants: Booking Rides for Your Executive
Updated 3 min read
Booking travel for someone else means every field in a booking form has an extra question behind it: whose email goes here, whose name goes there, who actually needs to see this confirmation. It's a small thing that's easy to get wrong the first time and completely routine once you know the pattern.
This guide walks through exactly that — which details belong to you as the person booking, and which belong to the executive who's actually travelling.
On this page
Your details vs. the traveller's details
Use your own email and phone number as the contact for the booking itself — that's where the confirmation, the pre-departure reminder and the receipt all go. The passenger's name goes in the field for who's actually travelling, so the driver knows who to expect at pickup, and the flight number goes in against that same trip.
How the driver actually reaches your executive
The driver-detail message — the driver's name, phone number and licence plate — is sent directly to whichever contact is attached to the trip. If you'd rather your executive receive that message directly rather than routing it through you, use their phone number as the trip contact for that notification while keeping your own email for the booking confirmation and receipt; check with support if you need the two split that way.
Either way, your executive doesn't need the app or an account to be met correctly — the driver works from the flight number and passenger name on the booking, not from who made it.
Getting the receipt to finance
Choose the Business category or the company receipt option when you book, and enter the company name (and organisationsnummer, if it's a Swedish entity) so the receipt after the trip is made out correctly for your finance team without anyone needing to request a correction afterwards.
Booking recurring trips for the same executive
There's no saved profile or standing account — each trip is its own booking — but once you've booked for the same executive once, the pattern (their name, the usual pickup addresses, the company receipt details) is quick to repeat for the next trip.
Booking for more than one executive
If you're arranging travel for several executives, each trip is still its own individual booking — there's no shared profile across them, but the same pattern (your own contact details, the traveller's name, the company receipt option) applies consistently to each, which keeps every executive's trip handled the same way regardless of who's travelling.

Questions people ask before booking
Whose email should I use when booking for my executive?
Your own — that's where the confirmation, reminders and receipt go. The executive's name goes in the passenger field so the driver knows who to expect.
Will my executive receive the driver's details directly, or do they come to me?
They go to whichever contact is attached to the trip. If you want the driver-detail message to reach your executive directly, use their number for that notification and contact support if you need it split from the booking confirmation.
Does my executive need an account or the app to be picked up correctly?
No — the driver works from the flight number and passenger name on the booking, not from an app or account on the traveller's side.
How do I make sure the receipt goes to finance correctly?
Choose the company receipt option and enter the company name (and organisationsnummer for a Swedish company) at booking — the receipt is then made out correctly without needing a correction afterwards.
Is there a saved profile so I don't re-enter the same details every trip?
Not currently — each trip is booked individually, though repeating the same details for a regular executive is quick once you've done it once.
