If it's easier to coordinate centrally, one person can book several arrivals under their own contact details, entering each guest's flight and hotel separately.

Wedding-day transport is worth booking as early as the rest of the day's logistics, once venues and timings are confirmed — free cancellation more than 12 hours ahead means there's no cost to booking early and adjusting later if the schedule shifts.
