Organising transport for a group that isn't all on one flight is a different problem than booking a single arrival — different landing times, different terminals in some cases, and the temptation to try to combine everyone into one plan that doesn't actually match reality. It's tempting to think of a group arrival as one event with one pickup, but if people are landing on different flights, at different times, sometimes hours apart, that's really several separate arrivals happening to belong to the same trip. Booking one transfer per flight, each tracked against the specific flight it's meeting, is far more reliable than trying to combine them — a single booking can only track one flight number at a time.
Sizing each car
Once you know who's on which flight, size each booking to the number of people and luggage actually arriving on it — a Standard car for a couple, an SUV / XL for a family or small group with more luggage, a Minibus if several people from the same flight are travelling together with a full set of bags. There's no need to book the same category for every flight if the groups on each one are different sizes.
Coordinating without overcomplicating it
For each flight, book with that group's actual flight number so tracking follows the real landing rather than a guessed time — this matters more with staggered arrivals, since a delay on one flight has no effect on the others and each needs to be handled on its own terms.
