Meeting an Elderly Parent Arriving at Arlanda
Updated 3 min read
Not being able to meet a parent at the airport yourself — because of work, distance, or simply not being in the country — doesn't mean they have to work out an unfamiliar arrivals hall and a taxi rank on their own. Booking their transfer for them, and briefing them on what to expect, covers most of what your presence would have done anyway.
This is about doing that well: booking on their behalf, connecting it with any airline assistance they may need, and setting expectations so the arrival feels smooth even without you there.

Booking on their behalf
Enter your parent's actual flight number and name when you book, so tracking follows their real landing and the driver is expecting the right person. If you'd rather receive the driver's details yourself and relay them, or have them sent to your parent's own phone, either is possible — just be clear when you book which number should get the message.
Add anything you already know that would help — mobility needs, a slower pace through the terminal, luggage they'll be struggling with — in the booking notes, so the driver isn't discovering it at the kerb.
If they need airport assistance
If your parent needs help moving through the terminal itself — a wheelchair, extra time, help with steps — that's arranged with the airline directly, ideally at booking or at least 48 hours ahead. That's separate from the transfer, which picks up from the assistance meeting point once they're through. Mentioning in your transfer booking notes that they'll be coming via assistance means the driver knows to expect that handover.
What to tell your parent to expect
A short, clear briefing helps more than you'd think: a car will be waiting, they don't need to look for a taxi or figure out an app, and a driver's name, phone number and licence plate will be sent before pickup — worth telling them what that message will look like so they recognise it rather than dismiss it as spam.
If they're not confident with a phone, or the message is going to your number instead, let them know you'll be able to tell them exactly what car and driver to expect once you have that information yourself.
- Book with your parent's real flight number and name, and choose where driver details are sent
- Arrange airline assistance separately if needed, and note it on the transfer booking
- Brief your parent in advance so they know what to expect and aren't caught off guard
The rest of the trip
Their flight is tracked from booking, so the pickup time follows the actual landing whatever happens with delays. The price is fixed and agreed when you book, so there's nothing for your parent to pay, negotiate or work out once they land.

Questions people ask before booking
Can I book a transfer for a parent who isn't travelling with me?
Yes — enter their flight number and name at booking, and choose whether driver details go to their phone or yours.
Do I need to arrange airport assistance separately?
Yes, through the airline directly, ideally at booking or at least 48 hours ahead. Note it in the transfer booking so the driver knows to expect the handover from assistance.
How will my parent know which car is theirs?
A message with the driver's name, phone number and licence plate is sent before pickup — worth telling your parent what to expect so they recognise it.
What if I want to track it myself while they're travelling?
Have driver details sent to your own phone instead of theirs, and you can relay everything to them directly.
Is anything paid or arranged on the day?
No — the price is fixed and paid at booking, so there's nothing for your parent to handle when they land.
