Booking a Car for a Wheelchair User: How Far Ahead?

Most of the questions in this library are about convenience. This one is about certainty, which matters more. If you or someone you're travelling with uses a wheelchair, the pool of vehicles that can actually take you is smaller than the pool of ordinary cars, and a booking made the same morning has less room to work with than one made a few days out.

None of that means booking has to be complicated. It means being specific early, and knowing what to expect back from us before you rely on the answer.

Why lead time matters more here

A Standard or SUV car can be swapped for another Standard or SUV car right up until the last minute, because there are many of them. A vehicle suited to a wheelchair — enough room to transfer safely, or a boot that takes a folded or powered chair without a struggle — is a narrower category. Booking early doesn't guarantee availability by itself, but it gives us the most time to match you with the right car and driver, and to tell you clearly if something about your trip needs a different plan.

This is one of the few situations in this library where 'book it and assume it's fine' is the wrong instinct. Book it, then wait for us to confirm the specifics, and only then treat the arrangement as settled.

What to tell us, and where

All of this goes in the notes field when you book. Write it as if you were describing it to a person, not fitting it into a form — the more precisely we understand what the chair actually needs, the better the match we can send.

  • The type of chair: manual, powered, and roughly its folded or unfolded size if you know it
  • Whether the passenger transfers into a normal seat or needs to remain in the chair for the journey
  • How many other passengers and how much luggage are travelling alongside
  • Any other mobility equipment coming with you — a walker, crutches, an oxygen supply

What happens after you book

Your booking is confirmed once payment is authorised, but for an accessible vehicle, that confirmation is the start of the conversation rather than the end of it. We follow up to make sure the details in your notes match what we're sending — this is where booking early pays off, because it gives that exchange time to happen calmly rather than under pressure a few hours before your flight.

If anything in your booking needs adjusting once we've looked at it — a different pickup point, more notice than usual — we'll tell you plainly rather than leave you to find out at the kerb.

Travel with a wheelchair often comes with its own uncertainty — a connecting flight, a hospital appointment either side of the trip, a chair being repaired. Free cancellation more than 12 hours before pickup means booking early doesn't lock you in financially; it just gives everyone more room to get the details right. How far ahead should I book if I need an accessible vehicle?

As early as you reasonably can. There's no fixed minimum, but because suitable vehicles are a smaller pool than our ordinary fleet, the earlier you book and describe what you need, the more time we have to match it properly.

Can I request a specific type of accessible vehicle?

Describe the chair and how the passenger travels — transferring into a seat or remaining in the chair — in the booking notes. We confirm what we can send based on that description before your pickup.

What if I book late and nothing suitable is available?

We'll tell you directly rather than send an unsuitable car. This is exactly why booking as early as possible matters for accessible trips — it gives us the room to find the right vehicle instead of scrambling at the last hour.

Does an accessible vehicle cost more?

The price is shown before you book based on the vehicle category needed for your trip. There's no separate accessibility surcharge on top of that fixed price.

Can I cancel if my plans change closer to the date?

Yes — free cancellation more than 12 hours before pickup, refunded in full. Booking early to secure the right vehicle doesn't commit you financially until much closer to the date.
