Booking an Airport Ride for Someone Else
Updated 3 min read
The person paying for a transfer and the person riding in it aren't always the same person — a parent booking for a visiting child, an assistant booking for an executive, someone arranging a lift for an elderly relative. It works fine, but it's worth entering the details in the right places so the right person gets the right information.

The key decision: whose phone number goes where
The phone number on the booking is where the driver's name, number and licence plate get sent, so it should generally be the traveller's own number, not yours, if you want them to receive it directly. Your email can still be the one that gets the booking confirmation and receipt — the two don't have to match.
Setting it up correctly
- Enter the passenger's name as the traveller, so the driver knows who they're meeting.
- Use the passenger's phone number as the contact number, so they receive the driver's details directly rather than you having to forward them.
- Use your own email address for the confirmation and receipt, if you're the one paying and want the paperwork.
- Add the passenger's flight number if it's an arrival, so tracking follows their actual landing, not yours.
If the passenger doesn't have a Swedish number
That's fine — enter it in full international format, with the country code, the same as any foreign number. See the guide on booking with a non-Swedish phone number for the details on why the format matters and what to do if roaming is uncertain.
What the passenger sees, and what you see
The traveller receives the driver's name, phone number and licence plate before pickup, sent to the number you entered for them. You, as the payer, receive the booking confirmation and the receipt with the VAT line at the email you used. Neither of you needs to forward anything to the other for the trip itself to work — it's only the receipt, if the passenger wants a copy for their own records, that would need forwarding.
A note for an unfamiliar traveller
If the passenger has never used us before — a relative visiting for the first time, a colleague new to the city — it's worth telling them what to expect before they land: that a driver will message them directly with a name and licence plate, and that no separate app or account is needed on their end to receive it. A short heads-up avoids any confusion when an unfamiliar number texts them at arrivals.

Questions people ask before booking
Should I use my own phone number or the passenger's when booking for someone else?
Use the passenger's number if you want them to receive the driver's details directly. Your email can still be the one used for the confirmation and receipt.
Will the passenger know the driver is coming without me forwarding anything?
Yes, as long as their own phone number is entered as the contact — the driver's details go straight to that number before pickup.
Can I still get the receipt if the passenger's number is on the booking?
Yes — the confirmation and receipt go to the email address on the booking, which can be yours even if the phone contact is the traveller's.
What if the passenger has a foreign phone number?
Enter it in full international format with the country code. See the guide on booking with a non-Swedish phone number for details.
Can I change the contact number after booking if I entered mine by mistake?
Yes — contact support with your booking reference and we can update it so driver details reach the right person before pickup.
